A clear explanation of the information used to answer your enquiry and make, deliver and support your keepsakes or creative project.
What we collect, and why
When you send a project brief, we receive the name, contact details, service selections and event or business information you choose to share. We store the brief and your permission to reply so we can answer your questions, prepare a proposal and manage the conversation. A project enquiry is not a subscription to promotional messages.
For an order or event experience, the information can also include guest contact details, photos or video, personalization choices, order and pickup references, delivery status and payment status. This supports capture, production, collection, delivery and help with an existing order. Please share only information relevant to the project; do not include passwords, payment-card details or sensitive personal records in a brief.
Photos, video & guest choices
Media supplied or captured for a keepsake is used to make and deliver that keepsake. Permission to fulfil an order does not by itself give permission to publish someone’s image in our portfolio, advertising or social media. Promotional use needs separate permission.
Only provide media and artwork you have permission to use. Where other people are identifiable, involve them in that choice. A parent or guardian should handle permission for a child. Tell us about participation, privacy or accessibility requirements when planning an event so we can agree an appropriate guest experience.
Keep private delivery and tracker links private. Sharing a link can give its recipient access to the associated content. If a link has reached the wrong person, contact us promptly so we can review access.
Website storage & service providers
The project planner saves an unfinished draft in your browser tab so you can move between steps. You can clear it in the planner, and sending a brief clears that draft. The website also uses browser storage for saved service choices and your reduced-motion preference. On a shared device, clear your draft before leaving.
Our website and connected tools use Cloudflare hosting and storage. Website requests include technical information needed to deliver and protect the service. The enquiry service uses a daily network hash to limit repeated submissions. Email, messaging and payment services used for your project may also process the information needed to perform their role; their own privacy notices apply when you use them. Contact us if you need details about a particular service or where its processing takes place.
Links to Instagram, WhatsApp and other external services take you to those services. Information you share there is also subject to their privacy practices.
Digital access is different from retention
Your delivery page or booking details set out the access period for digital keepsakes. Where a 30-day access period is included, save any offered downloads before that period ends. Availability after expiry is not guaranteed.
Link expiry does not by itself delete original media, production files, enquiry and order records, or backups. Those records have different purposes, including completing work, resolving order issues and keeping required business records. Contact us for the retention details that apply to your project or to request deletion. We will explain any information that must be retained and any limits on the request.
Requests, corrections & questions
To ask about your information, request access or correction, discuss deletion, withdraw a permission or raise a privacy concern, contact the founders at hello@gallanandgrit.ca or +1 604-512-3008. Include an order or enquiry reference if you have one. Please do not email identity documents unless we have agreed a secure way to verify the request.
We may need to verify that a request relates to you before sharing or changing private information. Withdrawing information needed for an unfinished order may affect our ability to complete it; we will explain that before proceeding.
